Webo Heftrucks streamlines all business processes with a single integrated Business Central solution

Webo Heftrucks B.V. is a specialist in the sale, rental, service, maintenance, and inspection of internal transport equipment.
In addition to standard internal transport equipment, Webo also provides customized solutions fully tailored to customer requirements.
The company combines technical expertise with a strong service-oriented approach.

 

The Challenge

Webo Heftrucks wanted to better align its various business processes to work more efficiently and further improve quality for its customers. It was essential that all core processes — ranging from purchasing and sales to inventory management, service, maintenance, inspections, and contract administration — were supported within a single integrated solution. Working with separate systems and manual steps led to duplicate work and increased the risk of errors.

 

Our Approach

Vasilok began by implementing Microsoft Dynamics Business Central (formerly Navision), including an integrated Rental & Service solution specifically designed for rental and service companies. Data from the existing system was carefully migrated to Business Central.
After the initial implementation, further optimization was explored together with the different departments. In addition, various third-party solutions were integrated, including:

  • automatic processing of purchase invoices;
  • reimbursement of expenses incurred on the road;
  • digital delivery of sales invoices;
  • automation of technicians’ work orders;
  • technician scheduling via a graphical planning board.

 

As a result, Business Central became the central system supporting nearly all business processes.

 

Collaboration

The implementation and subsequent optimizations were carried out in close collaboration with Webo Heftrucks. At each improvement point, the right employees were involved, and management was actively engaged. This collaboration created broad support within the organization and enabled steps that truly fit daily operations.

 

Role of the Consultant

Jos de Lang played a broad role in the project. He supervised the data migration, conducted training sessions, advised on further optimization of both current and future use of the application, and monitored the project in terms of planning and budget.

 

The Result

After completion of the project, Webo Heftrucks now operates with a single application supporting all business processes. This has led to:
less duplicate work and reduced risk of errors;

  • easier and more efficient processing of purchase invoices;
  • faster and more efficient invoicing through batch processing;
  • quicker payments and fewer disputes with customers;
  • improved accounts receivable and payable management;
  • better insight into parts inventory, enabling more targeted purchasing;
  • reduced inventory value.

 

Administrative and operational processes are now clearer, more reliable, and future-proof.

Next Steps & Future Expansions

In 2026, Webo Heftrucks plans to migrate to Business Central in the cloud. This will make hardware costs and updates more manageable and
provide access to a wide range of standard apps, allowing Webo Heftrucks to further optimize its processes in the future.
